Privacy Policy — Quick Quote

This privacy policy explains how QuickBook (“we”, “us”, “our”) collects, uses, and protects your personal information when you use the Quick Quote mobile app and related services (the “Service”).
Quick Quote connects customers who want a quote for a trade service (such as carpet cleaning, plastering, or painting and decorating) with the tradesperson providing it. This policy covers both customers and tradespeople using the app.
We are the data controller for the personal information described in this policy. If you have any questions, contact us using the details at the end.
1. Who this policy applies to
- Customers — people who use the app to measure their rooms and request a quote from a tradesperson.
- Tradespeople — businesses and individuals who subscribe to use Quick Quote to receive measurements and send quotes.
Where a section applies only to one group, we say so.
2. Information we collect
From customers
When you request a quote, we collect:
- Contact details — your name, email address, and phone number. Some of these may be pre-filled by the tradesperson who invited you; you can check and correct them before submitting.
- Address details — the address and postcode of the property to be worked on, so the tradesperson can locate it and provide directions.
- Room measurements — the dimensions of your rooms. Where your device supports it, this may include a 3D scan of the room captured using your device’s LiDAR sensor and camera. This scan is used to calculate areas (for example floor, wall, and ceiling area) and to give the tradesperson an accurate picture of the space.
- Job details — the flooring type, surface condition, finishes, optional extra services you select, any preferred appointment date and time, and any notes you add.
From tradespeople
When you subscribe and use the app, we collect:
- Account and business details — your name, business name, email address, phone number, website, working hours, and working days.
- Trade — the trade associated with your account, set when you subscribe.
- Pricing and service information — the rates and optional extras you configure.
- Login credentials — managed through your account on our website.
Collected automatically
- Device push notification token — if you allow notifications, we store a token so we can send you updates about your quote or new jobs. You can turn notifications off at any time in your device settings.
- Technical information — basic information needed to operate the Service, such as app version.
Camera and LiDAR
The app uses your device’s camera and LiDAR sensor only while you are actively scanning a room, to measure the space and produce a 3D model. The camera feed is processed on your device to build the measurement; we do not use the camera for any other purpose. If you prefer not to scan, you can enter measurements manually instead.
3. How we use your information
We use the information we collect to:
- Enable you to request, receive, and manage quotes.
- Pass a customer’s measurements, job details, and contact information to the tradesperson they requested a quote from, so that tradesperson can prepare and send a quote.
- Send quotes, appointment confirmations, and related updates by email and (if enabled) push notification.
- Allow tradespeople to locate the job address and get directions.
- Operate, maintain, and improve the Service.
- Manage tradesperson subscriptions and accounts.
- Comply with our legal obligations.
4. Legal bases for processing (UK GDPR)
We rely on the following legal bases:
- Performance of a contract — to provide the Service you have asked for, such as delivering a customer’s request to a tradesperson and returning a quote.
- Legitimate interests — to operate and improve the Service, and to communicate with you about it, where this does not override your rights.
- Consent — for push notifications and for camera/LiDAR scanning, which you can decline or withdraw at any time.
- Legal obligation — where we must keep or disclose information to comply with the law.
5. How we share your information
We do not sell your personal information, and we do not show third-party advertising in the app.
We share information only as needed to provide the Service:
- Between customer and tradesperson. When a customer submits a request, their measurements, job details, and contact information are shared with the specific tradesperson they requested a quote from. Each request is linked to one tradesperson by a unique code. A customer’s information is not shared with any other tradesperson.
- Service providers. We use trusted third parties to run the Service, which may include our website and hosting provider, our email delivery provider, and Apple’s push notification service. These providers process information only on our instructions.
- Payment and subscriptions (tradespeople). Subscription payments are handled through our website’s payment and subscription systems.
- Legal reasons. We may disclose information if required by law, or to protect our rights, users, or the public.
6. Data storage and where it is held
Information you submit is stored securely on our systems, which are operated through our website [YOUR WEBSITE]. Room scan models, where captured, are stored so the tradesperson can view them, and are deleted when the associated job is deleted.

7. How long we keep your information
- Customer quote requests are kept for as long as needed to provide the quote and for a reasonable period afterwards, unless deleted sooner.
- A customer can delete a saved quote from their own device at any time. Note that this removes it from your device only; the tradesperson keeps their copy of the request unless they also delete it.
- A tradesperson can permanently delete a job, which removes the job, its access code, the customer’s submission, and any room scan models from our systems.
- Tradesperson account information is kept for the life of the account and for a reasonable period afterwards.
We keep information no longer than necessary for the purposes described, or as required by law.
8. Your rights
Under UK data protection law you have the right to:
- Access the personal information we hold about you.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete your information in certain circumstances.
- Object to or restrict certain processing.
- Request a copy of certain information in a portable format.
- Withdraw consent where we rely on it (for example, push notifications or scanning).
To exercise any of these rights, contact us using the details below. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
9. Children
The Service is intended for adults arranging trade work and is not directed at children. We do not knowingly collect personal information from children.
10. Security
We take reasonable technical and organisational measures to protect your information, including restricting access so that a tradesperson can only see jobs belonging to their own account. No system can be guaranteed completely secure, but we work to protect your information appropriately.
11. Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date above and, where appropriate, notify you.
