quickbook.uk is operated by WebStacked (Kevin Smithers, sole trader), of 14 Fairfax Close, Swindon, Wiltshire, SN3 3ET, United Kingdom (“we”, “us”, “our”). This policy explains what personal data we collect through the quickbook.uk website, the pub updates service WordPress plugin, and the companion iOS app, and how we use it.

This policy is written to be clear and specific, but it is not a substitute for legal advice. We recommend having it reviewed by a solicitor before publishing, especially as the service grows.


1. What the service does

Our service lets pub owners in the UK manage content on their own WordPress website — opening hours, quiz nights, live music listings, and specials boards — through shortcode zones. When a pub owner updates this content, we can automatically publish a matching update to their Facebook Page and/or Google Business Profile, if they have connected those accounts.

2. Information we collect

Account and billing information: name, email address, business/pub name, and billing address, collected when you subscribe via quickbook.uk. Payment card details are collected and processed directly by our payment provider — we do not store your full card number.

Site and plugin information: your WordPress site URL, plugin licence key, and the content you enter into shortcode zones (opening hours, quiz night times, event listings, specials text, and any images you upload).

Facebook Page data: if you connect a Facebook Page, we receive and store a Page access token via Facebook Login for Business, plus your Page’s name and ID. We use this token only to publish, edit, and check posts on the Page you connected, using the pages_show_list, pages_manage_posts, and pages_read_engagement permissions. We do not access your personal Facebook profile, your friends list, or any Page you have not explicitly connected.

Google Business Profile data: if you connect a Google Business Profile, we receive and store an access token to publish updates to that profile in the same way.

Technical and usage data: IP address, browser type, and basic usage logs from the quickbook.uk website and the plugin’s connection to our servers, used for security and troubleshooting.

3. Why we use your information, and our legal basis

We do not sell your personal data, and we do not use your Facebook or Google data for advertising or for any purpose beyond operating the cross-posting feature you signed up for.

4. Who we share information with

We do not share your data with any other third party, and we do not sell or rent personal data to anyone.

5. How long we keep your information

We keep account and content data for as long as your subscription is active, and for a reasonable period afterwards (typically up to 12 months) in case you resubscribe or need support, unless you ask us to delete it sooner (see our Data Deletion Instructions). Facebook and Google access tokens are deleted immediately if you disconnect a Page/Profile or close your account. Billing records are kept as required by UK tax law (normally 6 years).

6. Your rights

Under UK GDPR, you have the right to access, correct, delete, restrict, or export your personal data, and to object to certain processing. To exercise any of these rights, email privacy@quickbook.uk. You also have the right to complain to the UK Information Commissioner’s Office (ico.org.uk) if you believe we have mishandled your data.

7. International transfers

Some of our service providers (including Meta and Google) may process data outside the UK. Where this happens, we rely on their standard contractual safeguards for international transfers.

8. Children

This service is intended for business use by adults operating licensed pub premises. We do not knowingly collect data from children.

9. Changes to this policy

We may update this policy from time to time. We’ll post the updated version here with a new “last updated” date, and for significant changes we’ll notify active subscribers by email.
